Job Summary
We are seeking a reliable, adaptable Operations Support Coordinator to provide backup coverage and day‑to‑day support across four core roles within our organization. This position is essential to maintaining smooth operations during vacations, absences, and peak workload periods.

This role is ideal for someone who enjoys variety, supporting others, and being the person who keeps things running when coverage is needed.

What You’ll Do (Primary Purpose)

  • Provide backup coverage for key operational and administrative functions
  • Step in during employee absences to ensure continuity of business operations
  • Maintain working knowledge of procedures, systems, and workflows across departments
  • Communicate clearly with management regarding priorities and task status

Key Areas of Support

Customer Service / Order Desk

  • Respond to customer inquiries (phone, email)
  • Process customer orders and prepare shipping documentation
  • Assist with receiving shipments and basic inventory tasks
  • Prepare customer quotations as needed

Client Services Coordination

  • Support service and calibration scheduling
  • Maintain customer and service data in CRM (e.g., Maximizer)
  • Assist with service quotations, rentals, and shipping coordination
  • Maintain service records and documentation

Bookkeeping & Office Administration

  • Assist with invoicing, accounts receivable, and document management
  • Support record‑keeping and administrative financial tasks
  • Use Sage 50 and Microsoft Excel as required

Executive & Administrative Support

  • Provide clerical and administrative support to the President
  • Assist with correspondence, document preparation, and scheduling
  • Support internal coordination and special projects

What We’re Looking For

  • Experience in administration, customer service, bookkeeping, or office operations
  • College Diploma or Degree in Business Administration/Commerce is a strong asset
  • Strong organizational skills and attention to detail
  • Comfortable learning and working across multiple systems and processes
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Familiarity with Sage 50 and/or CRM systems is an asset
  • Reliable, flexible, and confident stepping in where needed
  • English required; French bilingualism an asset
